Foodbank Manager

Coalville Foodbank seeks to alleviate poverty in the Coalville area. It provides help through issuing a three-day emergency food parcel to those who are referred, Coalville Foodbank is part of the network of Trussell Trust Foodbanks.

Coalville Foodbank is governed by the New Life Church Coalville and is an out working of their faith and charitable aims to serve those in need and advance the Christian faith. The Charity works closely with other local churches and people in the community including businesses, supermarkets and the public, who offer support with food donations, financial donations and volunteering time. It also works in collaboration with other charities and organisations, including a wide range of agencies that refer people to the Foodbank via a voucher system.

New Life Church also runs Hope67 Community Money Advice which offers support with debt and financial issues to address the underlying cause of the need for a food parcel.

JOB DESCRIPTION

 

Responsible to: The trustees of New Life Church Coalville with day to day line management by the Chair of Trustees

Responsible for: Management and Coordination of Coalville Foodbank

Salary: £24,000 (£32,140 pro rata)

part-time: 28hours

Temporary: 1 Year (2nd year subject to funding)

 

Overall responsibility of the job:

The role of the Foodbank Manager is to oversee on behalf of New Life Church the operation of Coalville Foodbank, with concern for its strategic development, operational efficiency, and standards in accordance with The Trussell Trust franchise model. This will include, in coordination with the Trustees, guiding the further development of the Foodbank including its resources, financial assets, reputation partnerships, volunteers and on going Christian presence. The Foodbank Manager is responsible to the Trustees of New Life Church, reporting directly to the Chair of Trustees.

 

 

 

Specific responsibilities:

Strategic development

  • Call meetings of the management group four times a year, providing a report and agenda in advance this will involve leading a devotion and a time of prayer.
  • Along with the Trustees, develop, and be responsible for the delivery of, a new strategic plan for the Foodbank in line with the Churches values and mission statement and to ensure the sustainability of Coalville Foodbank both financially and through food donation. 
  • Build on and strengthen current referral pathways into the Foodbank
  • Work alongside Hope 67 CMA who oversee our financial inclusion project and other opportunities to provide support
  • Understand campaigns for change within Trussell Trust including the ‘Guarantee Our Essentials’ campaign.
  • Engage with campaigns at both a local and national level.

 

Reporting to Trustees

  • Report to the Trustees providing reports to the Trustees verbally and in writing at Trustees’ meetings when required.
  • Advise the Trustees of exceptional events such as complaints, major press contacts, accidents, external evaluations, or reputational risk.
  • Assist good and open communications between Trustees, Staff, and Volunteers.
  • Extract data for reporting purposes to the trustees.
  • Meet with chair of trustees regularly to review progress and development

Compliance

  • Comply with the terms of the Foodbank franchise, including standard operating procedures from Trussell Trust and attend regular Trussell Trust events
  • Ensure all safeguarding requirements are met in the running of Coalville Foodbank.
  • Liaise with relevant parties to ensure all grant reporting is fulfilled

 

Communications

  • Maintain a Foodbank phone and email account
  • Work with the Administrator with regards to communication on email and telephone when required.
  • Liaise with other community groups, churches and other faith groups to ensure ongoing support. Prepare and issue newsletters to maintain engagement of supporters and partners.

 

Foodbank centre(s) & Volunteers

  • To liaise with the shared Church Administrator regarding workload and developments
  • Alongside the Administrator and Volunteer Session Manager manage the Volunteers and any relevant training development
  • Visit the foodbank centre on a regular basis and liaise with the Volunteer Session Manager at the two weekly sessions
  • Liaise with the Foodbank Administrator and Volunteer Session Manager to monitor operational standards.
  • Provide cover for Session Managers when required this will involve leading the team of Volunteers in a prayer before the session starts and may involve offering to pray for clients when appropriate.

 

Food store & Food supplies

  • Visit the Coalville foodbank warehouse on a regular basis
  • Liaise with the Volunteer Warehouse Manager to monitor operational efficiency.
  • Support the Volunteer Warehouse Manager to monitor Health and Safety, ensuring compliance with statutory requirements and good practice. Liaise with the Volunteer  Warehouse Manager to monitor stocks levels, ordering more stock and issuing appeals as necessary.

Data

  • Be familiar with the on-line data system, monitoring the key data indicators
  • Support data Volunteers to ensure regular and accurate data of stock and vouchers
  • Extract data for reports to the steering group or Trustees

Agencies

  • Communicate with Referral Agencies in response to queries or issues.
  • Develop communication and training with Referral Agencies to get better quality referrals.
  • Attend network meetings – such as the local Foodbank forum

 

Finance

  • Comply with the New Life Church finance policy.
  • Provide the Volunteer Treasurer with details of payments and receipts, and supporting documents, to enable proper accounting.

Quality Assurance

  • Carry out a stock take of the warehouse on an annual basis.
  • Undertake the annual Quality Assurance visit from The Trussell Trust
  • Oversee the food hygiene inspection for Coalville Foodbank.

 

Undertake any other duties appropriate to the role as may be reasonably required.

 

Person Specification

 

Experience:

  • Experience of managing people
  • Experience of working or volunteering in an organisation that deploys volunteers
  • A sound understanding of, and experience of engagement with, churches and Christians of different denominations
  • Experience of managing community projects and working with other community organisations.

Other Requirements

  • Must have a driving license and access to a vehicle.
  • Flexible in their working hours (Occasional weekend and evening hours may be required)
  • An enhanced DBS disclosure will be required for the successful applicant.
